In short

  • Plan my visit lets a household publish a room-visit booking page. It's free, run by an individual developer.
  • If paid plans ever come, nothing is charged without your explicit agreement.
  • It's provided as is: we're not liable for mistakes or misuse, but feedback is welcome and we'll try to fix problems.
  • We never sell your data.
  • You can stop at any time and ask us to delete your data.
  • Bookings are deleted 30 days after the visit.

1. Who we are and this agreement

These Terms govern the use of Plan my visit, a free service run by Andrea Vendrame, an individual developer based in Denmark (“we”, “us”). Plan my visit is not operated by a company. Contact: dev.andreavendrame@gmail.com.

Hosts are the people who set up or join a household on Plan my visit (by signing in with Google or by using a household's admin page). By doing so, a host accepts these Terms.

Visitors who only book a visit do not enter into this agreement. Their data is handled as described in our Privacy Policy.

2. The service

Plan my visit lets a household:

  • set each member's weekly availability for room visits;
  • connect members' Google Calendars so busy times are excluded automatically;
  • publish a booking page where visitors choose a free 30-minute slot, in person or online;
  • send confirmation emails and calendar invitations for every visit, with Google Meet links for online visits, through a connected Gmail account.

We are not a party to any tenancy, visit or agreement between the household and visitors. We do not check who visitors are and are not responsible for whether a visit takes place or for its outcome.

3. Free of charge

Plan my visit is currently free. We don't ask for payment details and nothing is charged.

If we introduce paid plans in the future, we will tell hosts by email in advance and publish updated Terms. Nothing will ever be charged without your explicit agreement. If you don't want a paid plan, you can stop using the service and ask us to delete your data.

4. Accounts and household responsibilities

  • Hosts sign in with their own Google account and are responsible for what is done through it. Households set up before accounts existed use an admin page protected by a shared passcode, which must be kept confidential.
  • Invite only people who agreed to be part of the household. Each member connects their own Google account themselves; invite links are personal and should not be shared with anyone else.
  • Keep the visit address and availability accurate, and handle visitors' personal data lawfully.
  • Connected Google accounts are also subject to Google's own terms. Access can be revoked at any time from the Google account settings; some features stop working without it.

5. Availability of the service

Plan my visit is a free project run by one person and is provided “as is” and “as available”, without warranties of any kind. We do our best to keep it working, but we can't guarantee it will always be available, error-free or suited to your needs. Maintenance, outages of Google services, or disconnected or expired Google accounts may temporarily affect availability, emails or calendar checks. Slot availability is only as accurate as the weekly schedules and calendars the household provides.

We may change features, or stop the service altogether. If we decide to shut it down, we will tell hosts by email at least 30 days in advance where possible, and then delete all data as described in the Privacy Policy.

Nothing in these Terms limits the rights you have by law as a consumer.

6. Acceptable use

You must not use Plan my visit to:

  • break the law, or discriminate against visitors on grounds prohibited by law;
  • send spam or messages unrelated to room visits;
  • try to access other households' data, overload the service, or bypass its security;
  • connect Google accounts that you are not authorised to use.

You are responsible for how you use Plan my visit, including the availability you publish, the people you invite, the messages sent on your behalf and your dealings with visitors. We are not responsible for any misuse of the service by hosts, household members or visitors.

We may suspend access in case of serious or repeated breach, after warning the host when possible.

7. Data protection

Our Privacy Policy explains how personal data is processed. For visitors' and household members' data, the household decides why it is collected, and we process it on the household's behalf. In that role we:

  • process the data only to provide the service, as set out in these Terms and the household's settings;
  • keep the data confidential and apply appropriate technical and organisational security measures;
  • use only the service providers listed in the Privacy Policy, and tell hosts before adding or replacing one;
  • never sell personal data, never use it for advertising, and never share it except as described in the Privacy Policy;
  • help the household respond to data subject requests, and notify its hosts without undue delay of any personal data breach;
  • delete bookings 30 days after the visit, and delete a household's remaining data within 30 days of a host's request.

8. Liability

Because Plan my visit is free, to the fullest extent permitted by law we accept no liability for any loss or damage arising from its use or from not being able to use it, including:

  • bugs, errors, or wrong, missed or double-booked visits;
  • emails or calendar invitations that are not sent, arrive late or contain mistakes;
  • inaccurate schedules, calendars or information entered by the household;
  • interruptions, data loss, or problems with Google or other third-party services;
  • the conduct of visitors or household members, misuse of the service, and any decision about a tenancy.

If something goes wrong, please tell us at dev.andreavendrame@gmail.com. We appreciate feedback and will try to fix mistakes, but we have no obligation to do so within any particular time.

The law does not allow excluding liability in every case, so these limits don't apply to liability for intent or gross negligence, for death or personal injury, or where the law does not allow liability to be limited, including consumers' statutory rights.

9. Stopping use and deleting your data

You can stop using Plan my visit at any time. To have your account or your household's data deleted, write to dev.andreavendrame@gmail.com; we delete it within 30 days. Removing a member from a household deletes their availability right away.

10. Changes to these Terms

We may update these Terms, for example when features or the law change, or when paid plans are introduced. We will email hosts at least 30 days before significant changes take effect. If you don't agree, you can stop using the service and ask us to delete your data.

11. Governing law and disputes

These Terms are governed by Danish law.

If you are a consumer, you keep the protection of the mandatory laws of your country of residence, and you can bring a claim before the courts where you live.
